How to
Void an invoice, or correct one that was already sent
A wrong invoice is voided with a recorded reason, or you know what to do when it has already been paid.
- 1
Open the invoice. If it is still a draft with no payment, choose 'edit' to change it, or 'delete draft' to remove it.
Billing · Billing → Invoices → open the invoice
Only admins can edit, delete or void invoices.
- 2
If it was sent and nothing has been paid, scroll to 'invoice cleanup', type a 'void reason' and choose 'Void invoice'.
Billing · the invoice → invoice cleanup
Voiding keeps the record, releases linked time entries and takes the invoice out of collection. The invoice then says 'This invoice was voided' with your reason. An admin can later choose 'delete permanently', which removes it for good.
- 3
Create a new, correct invoice and send it.
Billing · Billing → Invoices → New invoice
A voided invoice cannot be reopened.
Worth knowing
- Billing has no credit-note control today. An invoice with a payment on it cannot be voided, so a paid invoice can't be credited from here. Record any refund outside Billing and keep a note on the invoice.
- A sent invoice cannot go back to draft.
