How to

Fix a draft invoice before it's sent

The invoice reflects the right line items before the customer ever sees it, without leaving a half-priced or unsendable draft behind.

  1. 1

Open the invoice and choose Edit — it's only offered while the invoice is a draft with no payment recorded against it yet.

bill · Bill → service invoices (/invoices in Bill) → open the invoice → Edit

Editing an invoice is admin-only, unlike editing its client or engagement. Once it's sent, or has any payment on it, there's no edit link at all — not even for an admin.

  2. 2

Change the line items and save.

Saving fully replaces the line items rather than patching them — every row is resubmitted each time you save, so double-check the whole set before saving rather than assuming only the one line you touched changed.

  3. 3

Send it once it's right. If the draft's total is zero or negative, the invoice detail page shows a warning explaining it needs a positive total before it can be sent or charged, with an 'edit the line items' link straight back into this same form.

Worth knowing

  • This guide applies to Bill service invoices. Work customer invoices at /billing are a separate workflow with no draft Edit control; a draft created there will not appear in Bill. Invoice numbers can repeat across the two lists, so use the workflow and customer to identify the record.
  • A sent invoice has no path back to draft — there's no 'unsend'. If it genuinely needs to change after sending, that's a different action (void, credit, or a new invoice), not this edit form.
