How to
Name the item on a trial line that does not have one
A trial line that was typed by hand names a real catalog item — or the exact physical unit — so inventory stays accurate when it is checked in or sold.
- 1
Open the trial. Look for the panel headed 'say what these lines are' — it appears only when a line names nothing in the catalog.
Shop · trials → the trial
The panel is hidden on imported trial history and on any trial that is no longer open. A line with an unresolved custody problem is also left out until that is settled.
- 2
For a serialized instrument, search the unit picker by name, SKU, or serial and choose 'link unit'.
Shop · the trial → say what these lines are → a specific instrument
This moves that exact unit from in stock to on trial, so the instrument can no longer be sold or rented out from under the trial. The unit must be in stock, and its serial must match anything the line already recorded.
- 3
For anything unserialized — reeds, cane, a mouthpiece — search the catalog picker and choose 'link item'.
Shop · the trial → say what these lines are → anything else
This records what the line is and moves no stock. Use it whenever the line is not one tracked instrument.
- 4
If the item is not in the catalog yet, add it — and its stock unit, if serialized — through inventory first, then come back and link it.
Shop · inventory → add a stock unit
Adding the unit is an admin job. Anyone who can run trials can do the linking afterwards.
Worth knowing
- This is recommended before conversion, but it is not a blocker. A description-only line with a price can become a sale; the app warns that no inventory moved and leaves the identity gap visible for reconciliation.
- Picking the item up front is the normal path — the new-trial form has both pickers on every line. This panel is for repairing a line that was already sent out.
- A line that already names the wrong item is not editable. Check it back in and send a new line instead, so what physically went out stays truthful.
