How to

Send items to a customer on trial

The exact items leave with a due date and custody record, then come back or convert to one recorded sale.

  1. 1

Open a new trial, pick the customer, set a due-back date, and add every item going out.

Shop · trials → send a trial out

Without a due date the trial never appears in the due-date queue. Use a tracked unit for serialized inventory so the same instrument cannot be promised twice.

  2. 2

If it ships, buy an outbound and/or prepaid return label from the trial's shipping-label panel; otherwise leave the shipping fields blank for a hand-carried trial.

Shop · the trial → shipping labels

  3. 3

Send an agreement when the trial needs terms in writing, and use 'nudge the customer' when its due-date cycle needs a reminder. Agreements are sent and signed through Documents.

Shop · the trial → agreements; the trial → nudge the customer

The trial record and the signed agreement are separate. Sending a reminder does not change custody or close the trial.

  4. 4

When items come back, check only those lines back in. When the customer buys, select the sold lines and convert them to one sale, or attach the trial to the exact sale if it was already rung up.

Shop · the trial → check back in or convert to a sale

If the trial shows a payment or custody reconciliation warning, finish that exact recovery instead of taking another payment or substituting another unit.

Worth knowing

  • A mixed outcome is supported: some trial lines can return while others sell.
  • Cancelling a trial is for an ended trial with confirmed returned items; a lost or disputed item stays open as a custody problem until it is resolved.
