How to
What your client sees when they approve a proposal or ask for changes
You know what the client can do on their proposal link and what happens to the proposal when they do it.
- 1
The client opens the link in your email. The page shows your branding, the items grouped by room with photos and prices, the subtotal, sales tax and the Proposal Total.
The link works only for the proposal as it was sent. If you send a revised proposal, the client gets a new email, and an older page can say that a newer version was sent.
- 2
To approve everything, the client types their full name under approve this proposal and chooses approve proposal. The page then shows approved with their name and the date, and says you have been notified. If the business can take payment online, the client goes on to a payment page with a Continue to payment button.
The name is required. You can also choose mark approved on the proposal yourself if the client approved outside the app, but that is meant for exceptions.
- 3
To ask for changes, the client writes what to change under not quite right? and chooses decline. The page then says declined, with the date, and that you have been notified. The proposal is cancelled.
A decline cancels the proposal and the client cannot use that link again. To change it and send it again, follow Revise and resend a proposal after it was sent.
- 4
If item approvals are on for your workspace, the client can also act on single items: approve this item, or write a request under request a change to this item and choose send change request. Approving the whole proposal is still a separate final step.
Asking for a change to an item the client already approved removes that item's approval, and the client is asked to confirm first.
- 5
If the client has approved some items but not signed, an amber note reads Approved items — signature still needed. It says the proposal is not approved until they sign in the approve this proposal box.
- 6
If any item has a change requested, the approve this proposal box is replaced by a submit your responses box with a Submit responses button. The proposal cannot be approved at that point. Submitting tells you the client is done, and the page says your responses were sent and that you will send an updated proposal. Send them a revised proposal to approve.
Approval is refused while any item is waiting on changes, even if the client tries to approve another way. Submitting the same responses again does not notify you again.
Worth knowing
- If message about this item is on, the client can also write to you about one item from the proposal page without approving or declining. The proposal email does not carry per-item message links.
- The client sees this page only from the emailed link. This is what preview as client shows you, with the buttons turned off.
