How to

Turn paperwork you already use into a template

The contract you have been filling in by hand becomes one you send in a few clicks, with your own wording and the blanks filled from your records.

  1. 1

Type the words off your existing form into a new template. Keep your wording — you are moving a document you already use, not writing a new one.

Where you are unsure of a term, or where something has to be invented, leave it in double square brackets. It prints that way, visibly, so nobody signs a clause nobody agreed.

  2. 2

Replace each blank with the thing that fills it. The list beside the box shows everything available — click one and it drops in where your cursor is.

Anything not on that list is not filled in: it prints on the contract exactly as you typed it, braces and all. The template page warns you about any it finds.

  3. 3

List everyone who signs, in order. A signature line is added for each of them at the end — there is nothing to position.

  4. 4

Send one to yourself from a real record before you send one to a customer. It is the only step that proves the blanks fill with what you expected.

Worth knowing

  • Wording can be changed later — open the template and edit the text. Agreements already signed keep the version they were signed with; the change applies to the next one you send.
  • A document nobody signs — a trial memo, a packing note — is not a template. It is produced from the record it describes and needs no signature line.
  • You can upload a PDF instead of writing one, but an uploaded file needs its signature boxes positioned before every send, and it cannot fill in your records. Writing it out is usually faster the second time you send it.
