How to
Source products for a client project
A client approves an image-forward, room-grouped proposal; vendor orders are sent; and received goods update inventory and project progress.
- 1
In a designer workspace (Perch), open nest and choose New project on the dashboard. Name the project and choose its client or add a new one, then add the address, sales tax, rooms and an optional budget now or later. Use New admin project for general work that does not need designer selections.
Shop · nest dashboard → New project
- 2
Open the project and add catalog products to its selections, choosing a room and project pricing for each. When Create draft proposal is available, select the rows you want and use it, then review the resulting proposal before sending. Otherwise create a proposal from Proposals and choose its project and items.
Shop · project → selections → Create draft proposal
Link the project when the proposal is created. Room grouping is available only on a linked project; line markup is snapshotted so later default changes do not rewrite old proposals.
- 3
When designer product capture is available, clip a vendor product, continue in catalog, and choose this project before saving. Otherwise choose Create a product for this project from its draft proposal, or add a manually created catalog product to the project's selections.
Shop · Shop → products → project selections
The designer catalog navigation label is products. A captured web product must have a project; a manually created catalog-only product must be placed in the project before it can be added through the project document picker.
- 4
To add products to a proposal you already started, open the draft and choose Choose products for this project. Select the project placements, choose add to existing, then choose the same project's draft proposal and review its lines.
Shop · draft proposal → Choose products for this project → add to existing
The add-to-existing feature must be enabled and your role must permit the target document. Only eligible drafts appear. Saving or clipping a product does not automatically insert it into a proposal, replace an existing line, or change a sent or approved decision. Use the available revision or reselection workflow for changes after sending or approval.
- 5
Open a selected catalog item and use Item documents for spec sheets, care instructions, and supporting images. Shop admins can add, replace, or remove files; the team can preview or download them when opening the item from any project.
Shop · project → selections → open item → Item documents
These files are internal references shared by the catalog item across projects. Manage item photos opens the separate gallery; those photos and finish swatches may appear on client proposals.
- 6
Send the proposal to the client and wait for approval on the public link. If approval happened outside the app, choose Mark as sent (no email), then Mark approved.
Shop · the proposal → send to client or mark approved
The client needs an email before the approval link can be sent. Mark as sent (no email) changes status but does not create a customer link. Catalog images and specifications appear on the public proposal, so review them before sending.
- 7
Generate purchase orders from the approved proposal, review each vendor draft, then send it to the vendor or mark it ordered if you placed it elsewhere.
Shop · approved proposal → generate POs → open each PO
Every sourced catalog item needs a preferred vendor before the vendor-grouped POs can be generated.
- 8
Log each delivery: accept good quantity (and serials for tracked units), record damaged or wrong items separately, and leave anything outstanding open for the next delivery.
Shop · purchase orders → open the PO → log delivery
Only accepted good quantity enters on-hand inventory. Close rather than cancel a PO that already has delivery history.
Worth knowing
- The project overview separates selection planning, vendor purchasing, and issued customer invoicing. Review room and whole-project budgets, expenses, recorded hours, and phase budgets where available. Do not add overlapping proposals and invoices together as spend.
- Disable reorder on one-off specifications. Automatic PO drafting is currently paused; low-stock rules still appear for manual review on Catalog → Reorder.
