How to
Import, reconcile, and export bank or card spending
Statement activity becomes reviewed expenses in Books and a bounded QuickBooks Online import file without double-exporting the same rows by accident.
- 1
Download the statement CSV from the bank or card issuer, open Import in Books, and upload it.
Books · dashboard → import
- 2
Choose Chase or American Express for automatic columns, or choose the other-bank mapper and identify date, description, amount, and optional category before importing the preview.
Books
Imported rows land as draft expenses. Review the preview rather than assuming every issuer's CSV uses the same signs or headings.
- 3
Open Reconciliation for the statement dates and mark each approved, paid expense that matches the statement.
Books · dashboard → reconciliation
- 4
Export for QuickBooks, then upload that CSV in QuickBooks Online's bank-transactions import and map Date, Description, and Amount.
Books · reconciliation → export for QuickBooks
The normal export includes each eligible row once. Use the explicit re-export option only to replace a lost or corrupt file; importing both copies would double-book the spending in QuickBooks.
Worth knowing
- The QuickBooks file uses MM/DD/YYYY and negative amounts for money out. Category and GL Code travel as reference columns, but QuickBooks' bank importer may still require categorization there.
- A connected feed is optional; manual statement import and reconciliation are complete workflows on their own. CSV import creates draft expenses; linked-bank imports create separate feed records. Check for existing expenses before using both for the same statement.
- CSV export and direct QuickBooks posting are separate workflows. Reconcile existing QuickBooks entries before importing or posting the same purchase through another route.
