How to

Connect Google, Outlook or iCloud calendars and meeting links

Connect Google Calendar, Microsoft Outlook / Microsoft 365 or Apple iCloud where available, choose planner calendars, and configure Google Meet or Zoom for video bookings.

  1. 1

Sign in as yourself and open Settings → calendar. Choose the provider offered for your account: connect Google Calendar, Connect Outlook calendar for Microsoft Outlook / Microsoft 365, or Connect iCloud calendar. Each team member connects their own account. Provider availability depends on the rollout and configuration; if a control is missing, contact support rather than connecting another person's account.

    Work · Settings → calendar

Google app verification is still pending. Review any warning and your organization's policy before continuing. If Google or your administrator blocks access, contact support; a test-user listing does not override an organization restriction.

  2. 2

For Google or Outlook, sign in with the intended provider account and review the requested permissions. Microsoft 365 may require your organization's administrator to allow the app. Return to Settings and check the connected account and calendars.

  3. 3

For iCloud, create an app-specific password in your Apple Account, then enter your Apple Account email and that app-specific password in Connect iCloud calendar. Do not enter your normal Apple Account password. You can revoke the app-specific password in your Apple Account. Review the connected calendars and choose a writable calendar under New bookings go to before relying on it for booking events.

  4. 4

For each calendar, choose its business or Personal grouping, whether it appears on the planner, and whether it blocks booking availability. Open Today to confirm expected events and times. Calendar sharing is a separate setting for who can see your planner.

Work · Settings → calendar; Today

  5. 5

Leave Edit Google events from the planner (beta) off unless you intend to change your real Google events. Enabling it requires accepting the displayed warning. Calendar display, booking availability and permission to edit are separate choices.

    Work

The beta editing option can reschedule or delete real events and may have unexpected behavior. Connecting for display is not a reason to enable it.

  6. 6

Open Schedule → Settings to check the resource owner's connection. For Google Meet, use that owner's connected Google Calendar; there is no separate Meet sign-in. For Zoom, choose connect zoom and authorize the owner's Zoom account, then confirm the connected account shown.

    Work · Schedule → Settings

  7. 7

Create or edit the booking link, choose its video provider and confirm the intended resource owner. Rehearse a booking with someone expecting it, including manual confirmation if enabled. Check the confirmed booking, calendar event and join link before sharing the link with customers.

    Work · Schedule → Links

A saved booking does not prove the video provider created a meeting. If its join link is missing, investigate the connection before telling the attendee it is ready.

  8. 8

If calendar access expires or the wrong account is connected, return to Settings to reconnect the intended account. Check visibility and booking-blocking choices afterward. Use disconnect beside the account you intend to remove. Disconnect all Google accounts removes Google connections, not Outlook or iCloud. Removing Outlook locally does not revoke consent at Microsoft; remove the app in your Microsoft account too if needed. Revoke an iCloud app-specific password in your Apple Account when it is no longer needed.

Worth knowing

  • Google verification and Zoom Marketplace review are separate from successfully connecting an account. Neither a successful test booking nor an application submission is a general approval announcement; availability can still depend on provider and organization restrictions.
  • The Edit Google events from the planner beta setting applies to Google; it does not enable direct editing of Outlook or iCloud events. Connecting Outlook or iCloud does not supply a Google Meet or Zoom connection.
  • Confirmed Google Meet bookings use Google Calendar event creation to obtain the meeting link. The resource owner's calendar and Google account must support that operation.
  • If one calendar cannot be read, do not assume every empty calendar is free. Check the affected calendar with its provider and resolve the connection issue before relying on booking availability.
  • Disconnecting prevents future provider sync; it is not a bulk deletion of existing calendar events or Zoom meetings. Review existing bookings and provider records separately.
